Chapter 2 - Registering with ODS

Registering with ODS and Requesting Academic Accommodations at Xavier University of Louisiana

It is the policy of Xavier University of Louisiana to comply with Sections 503 and 504 of the Rehabilitation Act of 1973, the Americans with Disabilities Act of 1990 (ADA), as amended by the ADA Amendments Act of 2008, and other applicable federal and state regulations that prohibit discrimination on the basis of disability.

Under these laws, students with a documented disability have a right to receive reasonable accommodations.

Additionally, students have the following responsibilities:

 1. APPLY TO XAVIER UNIVERSITY OF LOUISIANA

Disclosing your disability during the application process is not required. Applying for academic accommodations is a separate and confidential process through the ODS office.

2. REGISTER WITH ODS AND SUBMIT DISABILITY DOCUMENTATION.

In order to ensure you have accommodations in place when you begin classes, please allow 2-4 weeks for the ODS registration and documentation review process from the time you submit your documentation.

**Please Note: Applications received between September and February for the next academic year will be reviewed in February (example: student applying for fall semester 2021 submits an application in October 2020. This application will be reviewed in February 2021.)**

Please complete the following steps.

  • Complete ODS on-line registration forms.
  • Provide disability documentation to ODS (see information below)
  • Respond to requests for information from ODS.
    • Occasionally, ODS will need more information from your healthcare provider to determine your eligibility for accommodations. A prompt response will ensure that ODS can evaluate your documentation and determine your eligibility for accommodations as soon as possible. 
  • Receive eligibility/denial email from ODS for accommodations. 
  • Complete part 1 and 2 of the ODS orientation (see information below)
  • Request accommodations for your classes

We require advance notice in order to coordinate your accommodations. Please see Chapter 4 for Timeline for Service Requests for applicable deadlines.

Documentation Information:

  • If you are unable to upload documentation using our On-Line-Services, you can submit documentation through mail, email, or fax. See our Contact Us for contact information.

COMPLETE AN ODS ORIENTATION:

After your documentation has been reviewed, you will receive an eligibility/denial email which will include information about the ODS orientation process.

  • A link is included in the eligibility email for a video that is Part 1 of the ODS orientation process.
  • Once you have completed the video and survey, you will need to schedule a mandatory orientation session (part 2) with an ODS staff member. Xavier University of Louisiana On-Line students will need phone services and access to a computer with internet in order to complete the orientation.  Please note you will not be able to use or request your approved academic accommodations until you have completed both parts of the orientation process.
  • Please schedule your orientation by calling the ODS at (504)520-7607 or by e-mail at DisabilityServices@xula.edu.

During this orientation, you will learn how to request accommodations each term using ODS On-line Services, get connected with an ODS adviser, learn about ODS policies and procedures, and have an opportunity to have your questions answered.

 3. REQUEST ACADEMIC ACCOMMODATIONS EACH TERM

During your ODS orientation, you will request your accommodations for the upcoming or current term. In subsequent terms, you will register for courses through Xavier University of Louisiana and then request your accommodations for the terms through ODS On-line Services. It is advised that you make your requests for your accommodations soon after you register for your classes each term (24 - 48 hours) and in accordance with the ODS Timeline for Service Requests.

4. FOLLOW THE POLICIES AND PROCEDURES OUTLINE IN THE ODS STUDENT   HANDBOOK 

Submitting Documentation after the Current Academic Term Begins

ODS receives documentation throughout the year. If you submit a request for academic accommodations and documentation, of your disability after the start of a term, and you wish to receive accommodations for that term, please be advised that you will need to be found eligible for accommodations and will need to complete Part 1 & 2 of the ODS orientation. Additionally, your accommodations may take time to coordinate. ODS makes a good faith effort to accommodate students as quickly as possible, but requests are generally provided according to our Timeline for Service Requests.

For students registering with ODS for the first time, applications with documentation received after week 8 of the term will be considered for the following term.
